Job Description

Caretaker

The overall aim of the caretaking role is ensure that the internal and external school facilities are available, fully functional, H&S compliant and aesthetically pleasing where this fails within the remit of the caretaking team.

Main Daily Activities

Ensuring security integrity of the school buildings and grounds through locking and unlocking, patrols, monitoring third party lettings

Carry out day-to -day duties according to daily schedule, ie littler picking, sweeping, refreshing toilets

Carry out defined Planned Preventative Maintenance responsibilities in accordance with each school's schedule and individual's skills

Reactive Duties Carry out initial investigations into reactive requests made during the day relating to deficiencies in accommodation and making temporary or permanent repairs or otherwise notifying management of the need to call in a service provider, in accordance with prescribed procedures and timescales

Respond to emergency situations such as floods, bodily fluids and effecting temporary or permanent rectification in accordance with prescribed procedures and timescales

Respond to request for collection of parcels, movement of furniture rearrangement of rooms etc in accordance with prescribed procedures and timescales

Be observant for H&S issues and ensure that they are rectified or made safe and reported to management

General Duties Where appropriate provide access, escort, liaise with and assist service providers on site to undertake remedial work or Planned Prevented Maintenance

Carry out minor repairs and decoration works

Participate in cleaning/deep cleaning activities as and when required

Being proactive by noticing deficiencies in the facilities and either rectifying if within capabilities or bringing the defect to the attention of management

Any other duties as assigned by management that relate to maintaining the facilities in a clean, functional and aesthetically pleasing state

Any other duties that individual is suitably skilled or qualified to undertake

Any other duties that are specific to the school being worked in ie swimming pool maintenance

Be flexible in shaft pattern to cover colleagues absences due to sickness and annual leave

Out of Hours Be available for lettings of the premises outside of normal hours with agreement of site manager

Participate in providing an out of hours emergency call out service in line with management instructions

Maintain communication in the event of any incidents to ensure availability of school accommodation and facilities

Key Skill Proactive approach

Range of general handyman skills such as minor plumbing, carpentry, electrical

Good customer service skills

Amenable and approachable personality

Ability to liaise with and assist external service providers Ability to work in a team

Ability to multi skill

Willingness to learn new skills and undertake training to develop role

Flexible and adaptable in approach

The following list is not definitive however contains some of the common duties that will fall within the remit of the caretaking team. You may be asked to perform some or all of the duties depending on how the Senior Caretaker and Business Manager want to organize your work. Where training is required to carry out some of these functions it will be arranged. The frequencies indicated are only for guidance and may be increased or decreased as needs dictate.

PPM

Daily visual checks of BMS, boiler and hot water functioning Monthly pest inspections

Weekly checking and clearing drains, gullies for blockages

PPM Cont - Visual checks of sports equipment weekly, including rugby, football, hockey post and fixed gym equipment

Monthly meter readings and monitoring of Electrical and Gas consumption

Fire, Security and Safety

Weekly Fire Alarm point checks Weekly test of Fire Alarm System

Monthly test (discharge) of Emergency Lights

Mechanical

Monthly check that fire extinguishers have not been discharged (pick them up) Weekly gas/water meter readings

Weekly plant room check/plant changeover monthly change/sterilize shower heads Painting (patch and programme)

Door locks/closing devises check and lubrication/repl acement/repair/adjust plumbing i.e

Waste Trap Cleaning

Deep clean of shower heads

Cleansing grease traps and chemical treatment

Daily Regime Fixed Duties

Unlocking and Locking the school ensuring that persons are not locked in General walk around to check facilities available

Change CCTV tapes procedures, review/monitor tapes in the event of an incident

Refresh toilets and reception areas Daily Regime Fixed Duties Cont­ Sweep hard area

Inspect grounds, walkways and internal roads for foreign matter i.e animal fouling, stones, glass and flooded areas etc and clear

Patrols of carpark and cycle racks, internal areas, nurseries, JSC's particularly during third party lettings

Check/Salt during winter months.

General Daily Duties

Setting up rooms/assemblies against schedule Challenge visitors not wearing badges

Escort from premises and report Litter picking

Check cars in the car park authorized to be there

Ad Hoc

Investigating reactive requests, carrying out temporary repairs and notifying management of further repairs required

Remove graffiti

Clear up spillages and bodily fluids

Cleaning ground level windows internally and externally including internal partition glazing

Putting up and taking down of sports equipment Escorting and monitoring service providers on site

Setting up meeting rooms, assemblies in line with requests or fixed dates

Assisting school in delivery/transporting of bulky goods, equipment etc within school boundaries

Minor cleaning and waste collection duties Furniture repairs

Rock salting/clearing snow during cold weather

Responding to out of hours call outs and instigating initial remedial action

Required in line with procedures Minor Electrical

Plug top fuse replacement Failed lamp replacement

Minor mechanical i.e

Filter changes on supply AHU's

Minor Carpentry i.e

Putting up shelves Re handing doors

Repairing window frames Minor Plumbing i.e

Repairs to taps (replaceable washers not cutting)

Cleaning blockages (plunger and or rodding but not high pressure jetting) Gutter and land drain clearing
