Recruitment HR Administrator - Kings Cross
Job Description
Our client is one of the largest charities in London that support homelessness and vulnerable people. They have multiple service for clients such as young people, clients with a history of homelessness, mental health or substance misuse issues.
Position Available: Recruitment HR Administrator - Kings Cross, £11.69ph, 2-3 months, 37.5 hours per week
Job Purpose
To provide an effective and efficient recruitment and administrative service to
Management and staff
Key Accountabilities
- Recruitment Administration
To carry out inputting data, liaising and communicating with internal and external teams and agencies, requesting and receiving documents/information for the on-boarding of new recruits to the Locum bank
Carry out pre-employment checks and ensure timely on-boarding for new starters (Employees and Locum Workers)
Liaising with Agencies, Agency workers and Managers, to coordinate the transfer of agency staff to the Locum bank
Occasionally participate in managing the Recruitment inbox and respond to routine enquiries from staff, Locums and potential candidates
Processing and obtaining RTW and DBS checks for new recruits to the Locum Bank
- Data maintaining and updating
Ensure that HR filing systems, records and electronic databases are maintained
accurately, completely and securely.
Create e -personnel folders for new starters and Locums
Maintain spreadsheets and reporting on data
Input personnel data accurately into HR information systems. E.g. new starter details, on-boarding /new starter documents or sensitive personal information.
Carry out data inputting and data checking tasks as part of monthly payroll processing.
- General administration and communication
Providing general administrative support to others within the Recruitment team, as reasonably requested
Draft standard letters and emails to staff and external agencies/stakeholders
Respond professionally to standard queries from managers and staff via email and
telephone; including monitoring, forwarding and responding to queries from staff via the Recruitment inbox
Take advice from or escalate non-standard queries to the appropriate member of the Recruitment team
Ensuring HR information systems are updated with current information
Any other reasonable duties which may arise which are in line with the responsibility level of the post.
Experience
Experience of working within an office environment or HR team
Experience of working with and maintaining computerised HR or office information systems and databases
Experience of dealing with the on-boarding process for new starters/recruits
Skills & Abilities
A good understanding of the key tasks carried out within a HR/Recruitment department
Strong communication skills - able to communicate effectively verbally and in writing, with a variety of people (e.g. via telephone, email and video conference)
Able to use MS Office packages including Word, Excel and Outlook at an intermediate level
Able to produce reports from source data e.g. filing, records, databases, spreadsheets
Able to manage time and multiple priorities effectively and meet deadlines
Pro-active approach and ability to work on own initiative
Able to understand and follow written policies and procedures, maintain confidentiality and protect data securely
