Part Time Receptionist/Administrator

Job Description

My Client is a Not- for - Profit leading organisation, that specialises in providing excellent accommodation and support services to the homeless and vulnerable. They are looking for a Receptionist/Administrator, to support the branch on a part time basis of 25 hours per week. The role is extremely varied and would also include managing their social media sites - so a creative individual would be ideal with previous knowledge of managing this part of the Business. Duties will include:

Daily Tasks

  • Opening up/Closing Down
  • Post in/out
  • Change the backup tape
  • Answering the telephone, dealing with enquiries and logging calls
  • Answer doors, deal with enquires and sign in visitors
  • Ensure the printer stocked with paper
  • Ensuring Sessional phones and camera are charged
  • Record any client contacts on LIS
  • Check key log to ensure keys issued to contractors etc have been signed back in
  • Check no changes made to shift rota that need updating on LIS shift rota
  • Check and replenish milk for staff and meeting refreshments
  • General cleanliness and tidiness of reception/waiting areas

Weekly Tasks

  • Keeping notice boards tidy and up to date
  • Checking stationary stocks and replenish
  • Filing
  • Checking stock of postage stamps and replenish as required
  • Check drier token stocks and arrange for driers to be emptied of tokens as required
  • Assist with Fire Alarm check
  • Check client Birthdays and arrange cards and cake if neccessary
  • Complete shift rota on LIS from main shift rota

Monthly Tasks

  • Print off sheets for Housekeeper to do stock checks of refreshment supplies, cleaning supplies, household equipment and first aid & PPE
  • Sainsbury's order for cleaning and refreshment supplies
  • Replenishment of PPE and first aid supplies
  • Processing on-call and mileage
  • Assist with collection/recording of gas, electric and water meter readings

Adhoc Tasks

  • Petty Cash - Processing of requests/receipts, Balancing of money and replenishing
  • Banking
  • Book meeting rooms for agencies
  • Set up rooms for meetings and clear away afterwards
  • Order toner for the printer and submit meter readings as required
  • Make up Marketing Packs
  • Issue and log keys to contractors, volunteers and sessional staff
  • Carry out new Staff/Volunteers administration inductions
  • Issuing swipe cards for new members of staff
  • Keeping the staff notice board up to date
  • Assist with client file audits
  • Monitoring stocks of swipe cards and fobs, order replenishment's, and process new cards/fobs onto door entry system
  • Photocopying and producing board packs
  • Archiving
  • Assist with catering as required
  • Keep staff and board photo boards up to date
  • Responsible for ensuring quarterly check of evacuation bags carried out
  • Responsible for circulation of policy updates
  • Responsible for ensuring that staff car documentation up to date
  • Responsible for assisting with recruitment administration
  • Responsible for notifying IT providers with details of new starters and leavers
  • Responsible for assisting with the purchase of household equipment including raising purchase orders
  • Administration tasks in relation to marketing and fund raising initiatives/events
  • Responsible for assisting Finance Manager with miscellaneous financial tasks as required including utility/broadband contract renewals
  • Assist with processing of applications for accommodation
  • Assist with processing of admissions, discharges and internal transfers
  • Assist with the update and management of the index card database
  • Assist with the input of new client profiles onto LIS

The hours of work will be Mondy to Friday, 09:30am to 14:30pm (although the client is happy to be flexible on start and finish times), please apply with your CV in the first instance.
