Human Resources Support Assistant

Job Description

My client based at the Stanfield Centre requires a HR Assistant for a fixed term contract till March 2022. The HR Assistant will support the busy HR Team and duties will include:

The HR Support Assistant post will provide administrative support for the Human Resources Service, providing an effective and efficient service so that quality standards can be maintained.

Provision of administrative support across the full spectrum of Company HR functions.

Collation and issue of recruitment and selection correspondence ensuring that safe recruitment principles are maintained.

Assisting HR colleagues in preparation of papers/reports/employee relations meetings.

To provide a proactive, innovative and responsive support service to the HR Team.

Key Responsibilities

Supporting the digitisation programme for HR records.

Preparing packs for shortlisting, sending out invitation to interview letters and ensuring that pre-employment checks are administered in line with safe recruitment protocols.

Placing adverts onto North East Jobs website and liaise with outside organisations to acquire costs of advertising.

Updating the SAP HR/Payroll system including the processing of new starters and staff changes in accordance with establishment control mechanisms.

To maintain the SAP HR/Payroll system, ensuring compliance with payroll deadlines and adherence to safe recruitment practice; i.e change of personal details including change of bank details in accordance to payroll deadline.

Data input of transactional HR and Payroll data, liaising with payroll colleagues, to ensure delivery of an accurate payroll.

Generate and issue correspondence to employees with regards to any contractual changes within the appropriate statutory timescales/guidelines. Communicate information verbally or in writing to internal and external customers on transactional HR issues on a daily basis using information derived from several sources including Sharepoint, paper based, SAP HR/ Payroll system.

Give low level advice on processing HR transactions some of which can be detailed, or sensitive and deal with SAP HR/ Payroll System.

Establish positive relationships with users of the service e.g managers and employees of the Company, Schools, Academies and other outside customers.

Assist in training of new and existing employees to ensure consistent accurate practice.

Work with fellow team members in ensuring all data is accurate and meets internal and external targets.

Creation and maintenance of personnel files and records.

Maintenance of the HR in-boxes; ensuring queries are answered in a timely manner or redirected accordingly and that any delays are proactively communicated to customers.

Handling confidential information sensitively and appropriately.

Ensure a responsive and effective service delivery within designated deadlines and to ensure work is carried out in an organised and effective way to enable work to be delivered within agreed deadlines.

Analyse and interpret relatively straight forward information to identify, assess and process relevant data on the SAP HR/ and Payroll system to ensure the most appropriate compliant outcomes. i.e. Monitoring of Dates and Flexible Working Requests.

To coordinate sickness absence returns on behalf of Company HR staff.

Dealing with day to day enquires on HR/Payroll issues.

Organise and maintain effective filing systems, both paper and electronic to

provide an efficient working environment.

Administration of the leavers process for the Company and Schools.

Supporting in the administration of disciplinary/grievance meetings.

Administration of Training and Development Programmes across the Company HR Service.

Delivering a high level of customer care through adherence to Customer Care principles.

Handling confidential information sensitively and appropriately.

Other duties and responsibilities allocated which are appropriate to the grade of this post.

The post holder will be required on occasion to travel within the City as required to undertake the role
