Facilities Manager

Job Description

Our client is a leading provider of Palliative Care in the South of the Country. They require a Facilities Manager to join their busy and oversee four locations/sites, including; Reading, Crowmarsh, Newbury & Wokingham. The successful candidate will be covering in the interim but will have the opportunity to apply for a Permanent position, once this comes to fruition.

The Head of Support Services/Facilities Manager will be reporting to either the Hospice Director or Neurological Centre Director, in addition, they will have direct communication with centre staff on a regular basis. The scope of the role will be to manage all services in the Hospice/Centre that are related to non- clinical activity.

Main Responsibilities of the role will be:

Technical Responsibilities
* manage service provision for catering, laundry and cleaning to agreed provider standards
* manage proactive maintenance of the estate and equipment, including implementation of appropriate maintenance schedule and obsolescence planning
* procurement of all equipment, furnishings and supplies within the clients policies and procedures
* non-clinical management of new and ongoing projects/developments
* planning and effective working of all information technology, information systems and administrative systems
* Ensure adequate administration support to the Care Centre / Hospice (if appropriate)
* Provision of payroll services in conjunction with the clients payroll department
* Monitoring of contracts for services
* To work with local team to establish planning frameworks, guidance and tools to support them in service planning
* To lead teams in the delivery of project plans, allocating tasks as appropriate, identifying risks, issues and dependencies, considering best practice and current options and ultimate making decisions in the best interest of the Hospice / Neurological Centre
* Ensure all work is delivered on time, to quality standards and in a cost effective manner
* Provide as required qualitative and quantitative information and lead appropriate analysis to develop robust business cases and planning activities
* To draft and evaluate local operational plans in conjunction with Centre Director and other individuals as relevant
* Ensure proactive liaison with Estates Management Department
Clinical Governance/Quality
* Implement audit processes to ensure that all services meet relevant, Care Standards, Environmental Standards and Health & Safety requirements
* Ensure compliance with financial KPIs
* Coordinate with the Head of Care / Head of Clinical Services regularly to check that service users needs are being met by the department
* Develop and implement audit systems to measure performance of equipment and standards.
* Ensure proactive liaison with auditors and Sue Ryder Finance Department

Clinical Governance/Quality
* Implement audit processes to ensure that all services meet relevant, Care Standards, Environmental Standards and Health & Safety requirements
* Ensure compliance with financial KPIs
* Coordinate with the Head of Care / Head of Clinical Services regularly to check that service users needs are being met by the department
* Develop and implement audit systems to measure performance of equipment and standards.
* Ensure proactive liaison with auditors and Finance Department

Managerial Responsibilities
* In conjunction with other team colleagues, support the hospice/centre as appropriate in developing and achieving annual business plan targets
* Ensure effective communication with other departments within the organisation
* Ensure effective performance management of Support Services staff in accordance with the clients policies and procedures for recruitment, induction, development, supervision and performance management
* Ensure best practice and cost effective Support Services support of service delivery is adopted throughout the hospice/centre
* Ensure all support departments are staffed adequately on a daily basis and that the relevant out of hours support is provided where appropriate
* Ensure supervision of external contractors in cooperation with Estates Management Department
* Act as deputy in the absence of the Centre / Hospice Director and the Head of Clinical Services / Care

Experience
* Experience in the delivery of facilities management services in a comparable organisation
* Experience of managing and motivating direct reports;
* Experience of undertaking health and safety risk assessments
* Commercial acumen and budget management experience, i.e. previously responsible for a budget, involved in budget setting and working knowledge of financial processes
* Experience of planning and operationally managing projects to delivery
* Experience of working in a health / social care environment

Essential Job Requirements
* Educated to degree level or equivalent qualification or equivalent experience.
* Basic level finance qualification
* Good working knowledge of Microsoft office with intermediate keyboard skills
Desirable Job Requirements
* ECDL (European Computer driving licence)
* Advanced Microsoft office skills
* Facilities and/or health and safety qualification (IOSH or NEBOSH)
* Project management qualification such as PRINCE2 or MSP

This role is a regional and will involce the successful candidate visiting the centres on a weekly/monthly basis, owner transport is essential & mileage will be paid
