Customer Service Co-Ordinator

Job Description

Based at our Leicester site in the UK, the candidate will support both internal and external customers in the delivery of excellent customer service. You will be managing accounts and dealing with customer enquiries and processing orders. You will also be required to take the initiative to resolve queries and ensuring a positive customer experience. This role will suit a well organised person who enjoys the challenge of a busy working environment and who can work pro-actively and against tight deadlines.

As a Customer Service Co-ordinator your responsibilities will include but are not limited to:

  • Managing existing accounts, building relationships with our key customers and resolving general sales queries;
  • Price quoting from established price lists.
  • Purchase order vetting and data entry to the system;
  • Processing of customer schedules;
  • Order tracking and ensuring that the relevant administration activities for the team are kept up to date and to a high standard;
  • Monitor customer websites for orders, schedules, general requirements and related updates;
  • Liaise with customers both external and internal to ensure that they are up to date on all issues and progress of orders and assistance related to customer needs;
  • Support with the quality compliance and dealing with customer complaints;
  • Take responsibility for demonstrating commitment with respect to the management system, by contributing to the effective implementation, operation and control of its processes.

As an Export Compliance Administrator your responsibilities will include but are not limited to:

  • Focal point for Legislation interpretation and understanding working with the Compliance Officer and Customer Services Manager
    • Covering but not limited to, Official Secrets Act, Controlled parts for Military and Dual Use
    • Ensuring entity is up to date with legislation and necessary internal training and communication
    • Liaising with Compliance Officer ensuring kept up to date with legislation and levels on compliance including necessary training
    • Liaise with internal and external counsel on updates and changes (Export Control Notices, Legal, External Specialists)
    • Induction of new employees in the Export Compliance flows within the entity
  • Liaise with department heads and experts on compliance to ensure all product and information flows are considered and captured. E.g., Transmission of information for information rated as Official Sensitive and under Official Secrets Act
  • Responsible for assessing and communicating with customers on any compliance declarations
  • Maintain internal audit schedule for the UK to ensure all areas and processes are robust and amended to meet any legislation and business process changes.
  • Maintain internal control logs, schedules in relation to legislation changes and audit feedback
  • Ensure all export licenses maintained and keep up to date on SPIRE liaising internally and externally to ensure all necessary documentation in place prior to export or import

Candidate profile:

  • The suitable candidate will have a minimum of two years' experience within a customer facing role;
  • Excellent communication skills both verbal and written across all business levels (internal & external).
  • A working knowledge of export documentation and legislation;
  • Experience in Microsoft office to a reasonable standard;
  • Organised and able to work under pressure whilst also maintaining a high level of attention to detail;
  • Experience of working with ERP systems;
  • Another language in addition to English would be desirable but not essential;
  • The ideal candidate will be customer focused and task orientated and works well under pressurised environments.
